Every outreach target, whether it is a guest post site, an affiliate partner, a journalist or a subreddit, is added by a team member who becomes its owner. The record holds the domain, the activity type, the point of contact, the pricing model (fixed fee or affiliate commission), the current status and the date it last changed. Contact details stay private to the agency unless the account owner chooses to reveal them to a specific brand, so a shared list never leaks a relationship.
When a publisher replies, the agency sends the deal to the brand for approval. The brand gets an in-app notification and an email, opens the deal, sees the site, the price and the proposed placement, and answers in the same thread. The agency is notified the moment they do. Nothing depends on somebody noticing a cell that says waiting for approval.
Approving a deal and publishing the placement moves it to the won list with the source page, the live backlink, the anchor text and the date it was verified. Rejections, by the brand or by the publisher, are kept in their own view so nothing quietly disappears. The dashboard totals placements, approvals pending and rejections across every client, filtered by date range and exportable to CSV.
Reddit programs get their own structure: the list of subreddits the agency works in, post topics for the brand to review before anything is published, and the threads that went live. Because AI answer engines lean heavily on community discussion and third-party mentions, the same records that prove a link-building month also show where a brand is becoming citable.
